INFORMATION ON THE PROCESSING OF PERSONAL DATA
In accordance with the legislation in force regarding the protection of personal data, with particular reference to art. 13 of Regulation (EU) 2016/679 (‘ GDPR ‘) and Legislative Decree 196/2003 and subsequent amendments (collectively, the ‘ Privacy Policy ‘), CONAD – Consorzio Nazionale Dettaglianti Soc . Coop., as data controller (‘ CONAD ‘ or ‘ Controller ‘), intends to inform anyone who registers through the website www.conadjazzcontest.it regarding the methods and purposes of processing their personal data. (‘ Site ‘) , individually or as part of a musical group (‘ Participant ‘), or as a member of the popular jury (‘ Voter ‘), in the prize competition called Conad Jazz Contest (‘ Competition ‘) connected to the Umbria Jazz Festival, scheduled from 11 to 20 July 2025.
Any updates to the information will be promptly available in the appropriate section of the Site.
- Personal data processed
- Participants
CONAD will collect some personal data of the Participants, through the specific registration form on the Site, including in particular:
- personal data (name and surname, place and date of birth, tax code, citizenship and residence, copy of the identity document of the Participant and/or of each member of the group);
- contact details (to be used in the event of victory, i.e. name and surname, telephone number and e-mail address of the contact person and of any other person indicated as a reserve);
- photo of the individual Participant or the group – subject to the need to receive authorization as indicated in the specific release (available here ).
It is emphasized that the photos of the Participant or the group will be published exclusively on the Site and on the other official online and social channels of CONAD (‘ Digital Channels ‘), for the purposes better described in Par. 2.
Only in case of winning the Competition, CONAD will also collect:
- a short bio /CV;
- additional high resolution photos of the Participant or group.
It is understood that the Participant who, acting on behalf of the other members of a group, registers the latter on the Site and provides the contact information, where different from the Participant and/or a member of the group, in the manner prescribed by the Competition regulations (‘ Regulations ‘), available at the following link , will act as an independent data controller in relation to the provision of the personal data of such other members.
- Voters
CONAD will collect some personal data of Voters, through the specific registration form on the Site, including in particular: name, surname, e-mail address and mobile phone number.
- Purposes and legal bases of the processing
The provision of the personal data indicated above is strictly necessary in order to participate in the Competition or in the popular jury , with the consequence that, in the event of refusal, CONAD will not be able to allow the registration of the Participant or Voter.
The legal basis of the processing, therefore, must be identified in the need for CONAD to implement, with regard to the Participants, the Competition Regulations, first allowing registration and then participation in the same, in addition to carrying out all related operations (including voting) and, for the Voters, the request to be part of the popular jury, in both cases pursuant to Art. 6.1, letter b) of the GDPR.
The recording and subsequent publication of the images on CONAD digital channels will take place, in the event of selection of the Participant and/or group among the 10 finalists, under the obvious condition that specific authorization has been issued ( link ), on the basis of the legitimate interest of the Data Controller, pursuant to Art. 6, letter f) of the GDPR.
The personal data provided by Participants and Voters during registration, relating to each member of the group and/or the contact person indicated in the registration form , may also be processed by the Data Controller for the purposes listed below:
- sending service communications related to the Competition, pursuant to Art. 6.1, letter b) of the GDPR;
- fulfillment of legal obligations applicable to the Data Controller or orders from competent authorities, pursuant to Art. 6.1, letter c) of the GDPR;
- defense or exercise in court of the rights of the Data Controller, pursuant to Art. 6.1, letter f) of the GDPR.
- Who will process the data
The processing of personal data will be carried out, according to the principles of correctness, loyalty and transparency, through both electronic and manual tools, under the supervision of suitable measures to guarantee the security and confidentiality of the data, in full compliance with current legislation, especially in order to reduce the risks of destruction, loss, modification or unauthorized disclosure or access, in an accidental or illegal manner, to the data processed.
The data will be processed exclusively by CONAD employees duly authorized in writing and trained in the security levels necessary to guarantee adequate data protection.
Any person who, by virtue of the performance of support services or in any case connected to the Competition, will have the opportunity to access and process the data on behalf of CONAD (e.g. AB Crea Srl and Mumble Srl), will act by virtue of specific agreements stipulated with the Data Controller as data controller pursuant to Art. 28 of the GDPR.
It is understood that the data may be communicated to third party independent owners, such as, for example, the organizers of the Umbria Jazz Festival on the basis of the legitimate interest of the latter in programming the lineup of the artists who will perform during the festival, or to the Judicial Authority and other competent authorities, to fulfill legal obligations and/or their requests and orders.
- Transfer of data abroad
The processing activities will take place exclusively within the European Economic Area. The Participants’ data, therefore, will not be transferred to third countries.
- Storage times
CONAD will process and store personal data only for the time strictly necessary to achieve the purposes indicated above. In particular:
- the data of Participants and Voters collected through the registration form will be retained for the time necessary for the organization and management of the Competition and will be deleted immediately at the end of the same;
- The photos and images of the Participants collected through the Competition registration form will be kept for a period of time not exceeding 12 months, but will remain published on CONAD’s digital channels for potentially longer periods.
Without prejudice to the above, the data will be retained by the Data Controller for longer periods, if required by law or by provisions issued by the competent authorities, as well as to allow the Data Controller to ascertain, exercise or defend its rights in court.
- User Rights
Participants and Voters may at any time exercise the rights recognized to them by requesting:
- confirmation of the existence or otherwise of personal data concerning him/her, receiving communication of such data in an intelligible form, together with the indication, if requested, of the purposes of the processing, the categories of personal data in question, the recipients to whom the data may be communicated, the retention period, his/her rights and the existence of an automated decision-making process, including profiling;
- the updating and rectification of your data without undue delay;
- the deletion of your data, in the cases provided for by Art. 17 of the GDPR;
- the limitation of processing – i.e. a temporary blocking – where one of the circumstances referred to in Art. 18 of the GDPR applies;
- to oppose the processing carried out by the Data Controller by virtue of its legitimate interest;
- data portability, receiving a copy of the data in a structured, commonly used and machine-readable format, and being able to transmit such data to another data controller without impediments by CONAD.
Interested parties also have the right to lodge a complaint at any time with the Data Protection Authority, if they believe that the processing carried out by CONAD violates the Privacy Law.
